AI Automation Specialist Job Description: Copy-Paste Template (2026)

AI Operator ·Published October 16, 2026 ·By Ivan Bunin

A founder and an AI operator sit at a round wooden table and shake hands over a job posting, with glowing gear and lightning tiles floating above them.
TL;DR

An AI automation specialist maps a company's repeat work, builds automations and AI workflows to do it, and keeps them running. Below is a copy-paste job description with duties, skills, a 30/60/90-day scorecard and a paid test task. Write the role around outcomes, ask for things they've built, and test with a real build, not a quiz.

Which title should you post?

Title What it usually means Post it when
AI automation specialist Builds and runs automations and AI workflows across your tools You want your operations to run on AI
AI automation engineer Same work, with more code: APIs, scripts, custom integrations Your stack needs custom code or high volume
AI implementation specialist Rolls out AI tools and trains the team to use them You've bought tools nobody uses yet
Automation specialist Classic workflow automation, often without AI The work is rules, not judgment
AI operator Builds, runs and owns the AI inside a business, and runs the day-to-day when nothing needs building You want one person whose whole job is AI

Most job descriptions for this role are written by people who've never done it. They list fifteen tools, ask for a computer science degree and say nothing about what success looks like in month three.

I've hired for this role and trained people into it. Pareto Talent's bootcamp has taught the AI curriculum to thousands of applicants: 36,186 applied between 2024 and 2026, 3,250 joined live training and 518 passed the scored final project (Latin America Remote Talent Report). What separated the ones who passed wasn't a degree. It was whether they could explain what they built and whether it worked on real data.

So the template below is written around outcomes, not tools. Copy it, change the brackets, and delete anything you won't actually hand over.

01 · The Role

What does an AI automation specialist do?

An AI automation specialist finds the repeat work in a business, builds automations and AI workflows that do it, and keeps them running. Day to day that means mapping processes, building in tools like n8n, Zapier, Make and Claude, connecting your CRM and inbox, monitoring every run and documenting how each build works.

The work splits into four jobs:

  1. Map. Write down every recurring workflow and how many hours it takes, so you know what's worth automating.
  2. Build. Automations, AI steps, small internal tools and dashboards, on your real tools and data.
  3. Run. Watch what they built, catch failures, fix them, and write down how each piece works.
  4. Improve. Bring the next idea. The best ones tell you what to automate before you ask.

The third job is the one most job descriptions forget, and the one that decides whether the role pays for itself. An automation that sends the wrong email for a week is worse than no automation. If you want the bigger picture of the role, our pillar guide on what an AI operator is covers it end to end.

02 · The Template

AI automation specialist job description template

A good AI automation specialist job description has seven parts: about the company, the role and its 90-day outcome, what they'll own, what they bring, how you'll measure success, pay and hours, and how to apply with something they've built. Copy the template below and replace everything in brackets.

JDAI automation specialist: full job description
AI Automation Specialist
[Full-time] · Remote · [Your time zone] hours

ABOUT US
[Company] helps [who you serve] to [what you do for them]. We're a team of [number]. We already pay for AI tools; we need someone whose job is to make them do real work.

THE ROLE
You'll own automation and AI inside [Company]. You'll find the repeat work, build the automations and AI workflows that do it, and keep them running. You report to [Founder name]. In 90 days, success looks like this: [five] agreed automations running on our real tools, [one] internal tool in daily use, and a written map of everything you've built.

WHAT YOU'LL OWN

Mapping
- In your first week, list every recurring workflow and the hours it takes.
- Agree the first [five] automations with [Founder], ranked by hours saved.

Building
- Build automations in [n8n / Zapier / Make] connected to [our CRM, inbox, calendar, Slack, Stripe].
- Add AI steps with [Claude / ChatGPT]: drafting replies, summarizing calls, classifying requests.
- Build small internal tools and dashboards with Claude Code when a workflow tool isn't enough.
- Keep anything client-facing as a draft until it has run cleanly for a week.

Running
- Check every automation daily; fix what breaks before anyone notices.
- Send failures to [Slack] automatically.
- Write a one-page note for every build: what it does, what it touches, how to turn it off.
- Keep every account and workflow in [Company]'s name, never a personal login.

Improving
- Every Friday, send a short note: what shipped, what broke, what's next.
- Bring at least one new idea a week, with the hours it would save.

WHAT YOU BRING
- Hands-on experience with at least one automation tool: n8n, Zapier or Make.
- Daily use of Claude or ChatGPT for real work, not just chat.
- Comfort with CRMs, webhooks and APIs. You can read an error and find the broken step.
- Clear written English. You can explain a build to someone who isn't technical.
- A portfolio: links to things you've built that we can open.
- Good judgment about what should run on its own and what should stop for approval.

NICE TO HAVE
- Claude Code or another AI coding tool.
- Experience with [HubSpot / GoHighLevel / your CRM].
- Experience in [your industry].

SUCCESS AT 30, 60 AND 90 DAYS
30 days: the first [three] automations live on real data for 7 days in a row.
60 days: [five] automations live; one internal tool or dashboard in daily use.
90 days: a written map of every build and a ranked plan for next quarter.

PAY AND HOURS
[Range and currency] per [year / month], [employee / contractor]. At least [6] hours a day of overlap with [time zone].

HOW TO APPLY
Send a 2-minute video walking through something you built: what it does, how it works and what broke along the way. Tell us what you'd automate first for a business like ours. Shortlisted candidates do a short, paid build test.

03 · Short Version

Short AI automation engineer job description

Use the short version for job boards with tight limits, or for an AI automation engineer role where you need more code. It keeps the outcome, the stack and the work sample, and drops the detail.

SUCCESS IN 90 DAYS

04 · Skills

What skills does an AI automation specialist need?

An AI automation specialist needs clear communication, process mapping, hands-on skill in at least one automation tool, prompting for outcomes, debugging, judgment about what's safe to automate, and documentation. Tool names matter less than these, because the tools change every few months and the skills don't.

Skill What good looks like How to check it
Communication Explains a build in plain English The 2-minute video in the application
Process mapping Turns a messy task into steps, inputs and outputs Ask them to map one of your processes live
Automation tools Builds and debugs in n8n, Zapier or Make The paid build test
Prompting Writes instructions around the goal, then checks the output Ask to see a prompt they rewrote and why
Debugging Reads an error, finds the step, fixes it calmly Break something in the test on purpose
Judgment Knows what should stop at a draft Ask what they'd never automate for you
Documentation Leaves a note anyone could follow Ask for the note from their last build

The applications we see show how fast the field moved. Mentions of AI in applications to our bootcamp rose from 7% in late 2024 to 18% in 2026, and in Bootcamp 7 the candidates who already used Claude Code passed the scored final project at 15% against 6.9% for the rest (Latin America Remote Talent Report).

05 · The Test

How do you test an AI automation specialist?

Test an AI automation specialist with a short, paid build on a realistic version of your work: give them a brief, sample data and a deadline, then ask them to walk you through what they built and what broke. Score the result, the explanation and the documentation, not just whether it runs.

A test that works:

  1. The brief. "New leads arrive through this form. Build a flow that creates the CRM record, drafts a personal reply with AI for approval, and alerts us in Slack."
  2. The materials. A test form, a sandbox CRM or a spreadsheet, and ten sample leads, two of them messy.
  3. The time. Two to four hours, paid.
  4. The walkthrough. A video: what it does, how it handles the messy leads, how to turn it off.

That's a small version of how we certify operators at Pareto Talent. Every AI Operator we certify finishes 40+ hours of training, then a 5-day final project where they build a full funnel with AI, scored on a 25-point rubric, plus an interview. Real examples include a Founder Freedom Calculator (Gabriel), a 6-Minute Inbox Audit built as a Claude skill that reads a founder's Gmail and Calendar read-only (Gorro), and a Law Firm Capacity Audit built with Claude Code (Florencia).

06 · Hire or Skip

Should you hire or skip the hiring?

Hire directly if you have time to write the role, screen applicants, run a paid test and manage the person, and you're confident judging automation work. Skip the hiring if you'd rather choose from people who've already passed a scored build, with replacement covered if it doesn't work out.

Here's the honest trade:

Hire directly Pareto AI Operator
Your time Writing, screening, testing, interviewing One call, then interviews with 3 profiles
Time to candidates However long your search takes 3 certified profiles within 24 hours of the call
Testing Yours to design and score Done: a 5-day final project on a 25-point rubric
If it doesn't work out You start again The Replacement Guarantee: we replace them, with a full handover
Cost Their salary plus your recruiting time $3,600/month, plus a one-time $3,000 placement fee

On the guarantees, worded as on our offer: Pick before you pay means you meet 3 certified AI Operators within 24 hours of your call and choose yours, your subscription starts only when you pick, and the $3,000 placement fee comes back in full if none of the 3 fit. The Replacement Guarantee means if your operator can't build what you need, or ever stops being the right fit, we replace them fast, with a full handover, for as long as you're with us. For scale on pay: a US software developer earns a median $135,980 a year before benefits (BLS OEWS, May 2025). Our AI operator cost guide prices every option, including freelancers and agencies. 07 · For Candidates

How do you become an AI automation specialist?

Become an AI automation specialist by building real automations on real tools and showing them. Learn one automation tool well (n8n, Zapier or Make), use Claude or ChatGPT for real work every day, build three things you can link to, and learn to explain each one in two minutes. A degree helps less than a portfolio.

If you're in Latin America and want to do this work full-time for US founders, our bootcamp is how people become certified AI Operators: a 10-day live bootcamp with 40+ hours of training, then the scored final project. Applications are at bootcamp.paretotalent.com.

FAQ

Frequently asked questions

What does an AI automation specialist do?
They find a company's repeat work, build automations and AI workflows to do it, and keep them running. That means mapping processes, building in tools like n8n, Zapier, Make and Claude, connecting the CRM and inbox, checking every run, fixing failures and writing down how each build works, so the business owns it.
How do you become an AI automation specialist?
Learn one automation tool well, use Claude or ChatGPT for real work daily, and build three things you can link to and explain in two minutes. Employers hire portfolios more than certificates. In Latin America, Pareto Talent's bootcamp trains and certifies people for this work with US founders through a scored final build.
How hard is it to get into AI automation?
The tools are easy to start and hard to master. Building a first automation takes an afternoon; building ones that run reliably for months takes practice. In our bootcamp, 3,250 people joined live training between 2024 and 2026 and 518 passed the scored final project, which shows how much the standard asks.
What degree is required to become an AI specialist?
For automation roles, usually none. Employers look for working builds, clear communication and debugging skill. Engineering roles that build AI models or products more often ask for a computer science degree. For an AI automation specialist, a portfolio of three working builds you can explain is stronger evidence than a degree.
What is automation, with an example?
Automation is software doing a repeat task without a person clicking through it. Example: a lead fills in your website form, the CRM record is created, AI drafts a personal reply for approval, and your team gets a Slack alert. An AI automation specialist builds that flow, then watches it and fixes it when something changes.
What is the difference between an AI automation specialist and an AI automation engineer?
Both build automations and AI workflows. An engineer usually writes more code, such as custom integrations, scripts and APIs, and handles higher volume. A specialist works mostly in automation tools and AI assistants, closer to the business. Post the engineer title only if your stack truly needs custom code.
How do I test candidates for this role?
Give a short, paid build test on a realistic version of your work: a brief, sample data with a few messy records, and two to four hours. Ask for a walkthrough video. Score the result, how they handled the messy data, and the documentation, not just whether it runs once.
