Every list of AI tools for small business has 25 to 35 entries. Nobody runs 35 tools. Nobody should.

Which AI tools should a small business start with?
Start with three: one AI assistant for thinking and writing (Claude or ChatGPT), one automation tool to connect your apps (Zapier or n8n), and a meeting recorder that turns calls into notes (Fathom). Those three cover most of the hours a small team loses. Add building and content tools once someone owns the first three.
The order matters more than the brand. A team that uses one AI assistant well, with shared projects and written instructions, gets more from it than a team with five subscriptions and no habits. The Federal Reserve's latest small business survey found that 46% of small employer firms use AI, but only 7% of those say it's fully integrated into the business (Federal Reserve Banks). The gap isn't tools.

How much does AI software cost for a small business?
For a five-person team, a working AI stack costs roughly $400 to $500 a month: AI seats, one automation tool, a meeting recorder, team chat, email and a CRM. Most tools charge per user, so the bill grows with your team. The bigger cost is the time to set it up and keep it running.

Why do AI tools fail in small businesses?
AI tools fail in small businesses for four reasons: nobody owns them, they don't know the business, they aren't connected to the tools where work happens, and nobody checks their output. Each is a people problem, not a software problem, and each has a simple fix.
- No owner. The subscription renews; nobody uses it. Fix: one named person per tool.
- No context. The AI writes generic copy because it doesn't know your offer. Fix: a written second brain it reads first.
- No connection. Notes stay in the meeting tool; leads stay in the form. Fix: an automation that moves them.
- No review. The automation runs and nobody reads the output. Fix: a daily check and failure alerts to one channel.
