Hire an n8n expert who runs everything around it

An n8n expert builds the workflow. An AI Operator builds it, runs it and owns what it touches.

Below: eight questions that separate n8n builders from n8n tinkerers, a paid test you can copy, what n8n actually costs to run, and when self-hosted beats cloud. Then the option most founders end up needing: one full-time person for n8n and the rest of the stack.

The role

What does an n8n expert do?

An n8n expert (also called an n8n developer or n8n consultant) designs, builds and maintains workflows in n8n, the open workflow-automation tool. Good ones also host it, connect it to your CRM, inbox and AI models, write custom JavaScript in Code nodes when the built-in nodes fall short, and build AI agents that call your tools.

n8n sits between no-code and code. You can drag nodes on a canvas, but you can also drop into JavaScript, call any API with the HTTP Request node, and run the whole thing on your own server. That flexibility is why people pick it, and why the skill range among n8n freelancers is so wide.

Search for "hire n8n developer" and most of what comes back is forum posts: people offering their services and people asking for help, often with workflows that have grown to hundreds of nodes. That's the pattern to avoid. A workflow nobody else understands is a liability the day its builder moves on.

The three jobs hiding inside "n8n expert"

  • Builder: turns a process into a working workflow, with error handling.
  • Host: runs n8n on a server, keeps it updated, backed up and secure. Only needed if you self-host.
  • Owner: watches the runs, fixes what breaks, and changes workflows as the business changes. This is the job most hires leave out.
Who to hire

Freelancer, agency or operator: who should build your n8n?

Four ways to get n8n work done. The right one depends on how much you'll build, and who fixes it when it breaks.

Freelancer from a marketplace or the n8n communityPer hour or per workflowOne defined workflowUsually you, after handover

How to vet

Eight questions to ask before you hire an n8n expert

Ask these on the call. A real expert answers with specifics from their own builds. Each answer tells you something a portfolio can't.

"Would you self-host our n8n or use n8n Cloud, and why?"

Listen for a reason tied to your data, volume and budget, not a habit. If they say self-host, ask who patches the server, how backups work and what happens when it goes down at night.

"Show me a workflow with real error handling."

Look for an error workflow that alerts someone, retries on the steps that call outside services, and a clear plan for partial failures. A workflow that only works on the happy path is a demo.

"Where do our API keys live?"

The right answer is n8n's credentials store or environment variables, created under accounts your business owns. Keys pasted into Code nodes are a red flag.

"When do you use a Code node instead of built-in nodes?"

Good experts use code for what nodes can't do cleanly, and keep it short and commented. Ask them to explain one of their Code nodes line by line.

"What happens if 500 leads arrive in a minute?"

You want batching, waits and respect for each API's rate limits. You also want them to know how n8n counts executions, because volume is what drives cost on a paid plan.

"How do you version and move workflows?"

Exporting workflow JSON into a Git repository is the minimum. Ask how they test a change before it touches live data.

"How would you build an AI agent here, and stop it doing something wrong?"

Look for tools with narrow permissions, a human approval step before anything is sent or deleted, and logging of what the model decided.

"Who fixes this in month six?"

If the answer is "call me", price that in. If you need someone watching every run, you need an owner, not a freelancer.

Running costs

What does n8n cost to run?

Two costs: the software, and the person. n8n prices its cloud plans by executions, and its own pricing page defines an execution as "a single run of your entire workflow", however many steps it has.

n8n planPublished priceExecutions a monthNotes from n8n's pages

Pro (cloud)€50 a month, billed annually10,000Higher concurrency and longer runs than Starter

A worked example

Say the lead triage workflow above runs once per lead, and you get 600 leads a month. That's 600 executions, however many nodes it has. Add a daily report (30 a month) and an inbox triage that runs every 15 minutes (about 2,900 a month) and you're near 3,500 executions: past Starter's 2,500, inside Pro's 10,000. Polling schedules, not leads, are usually what eats executions.

The software is the cheap part. The expensive part is the hours: building, fixing, and changing workflows as the business changes. That's the cost to plan for.

Hosting

Self-hosted n8n vs n8n Cloud

Self-hosting removes the license fee and keeps your data on your own server. It also makes you responsible for that server.

Self-hosted (Community edition)n8n Cloud

Our rule of thumb: start on Cloud unless you have a clear data or volume reason not to. Moving later is a workflow export, not a rebuild. If you do self-host, make sure the server, the domain and the backups are in accounts your business owns, not your freelancer's.

The alternative

An operator who runs n8n plus everything around it

Hardly anyone needs n8n on its own. They need the CRM cleaned up first, the email copy written, the landing page built, the AI step prompted in their voice, and somebody watching the runs. That's a whole job, not a workflow.

One flat price for a full-time builder who covers n8n and the rest of your stack. For scale: a US software developer earns a median $135,980 a year (BLS, May 2025).

Common Questions

Hiring an n8n expert: what founders ask

How much does it cost to hire an n8n expert?+
Freelancers bill by the hour or per workflow, and agencies charge a project fee, often plus a retainer. Rates vary widely by experience. Add the software: n8n Cloud starts at a paid monthly plan, and self-hosting has no license fee but needs a server and someone to run it.
Is n8n free?+
The self-hosted Community edition has no license fee: n8n's docs say that without a license key, n8n runs as the free Community edition. You still pay for the server and for someone to keep it updated and backed up. n8n Cloud and the Business and Enterprise editions are paid.
How does n8n count executions?+
n8n's pricing page defines an execution as a single run of your entire workflow, no matter how many steps it has. So a 20-node workflow that runs once is one execution. Frequent polling schedules usually drive execution counts more than workflow size does.
Should I self-host n8n or use n8n Cloud?+
Use Cloud unless you have a clear reason to self-host: high volume, strict data rules, or someone technical in-house to run the server. Self-hosting saves the license fee but makes updates, backups, security and uptime your responsibility. You can export workflows and move later.
What should an n8n developer test before I hire them?+
Give them a short paid test on a real workflow, such as inbound lead triage: a webhook, an AI classification step, a CRM update without duplicates, a Slack alert and an error workflow. Judge the questions they ask, the failure handling and whether the write-up lets someone else maintain it.
Is n8n becoming obsolete?+
Not on the evidence of its own product pages: n8n is actively shipping AI agent features and lists cloud, self-hosted, Business and Enterprise options. The bigger risk for a small business is not the tool. It is a workflow only one freelancer understands.
Can an AI Operator work in n8n?+
Yes. n8n is on our certification's Trained on list, with Zapier, Claude, Claude Code, GoHighLevel and more. Your operator builds and runs your n8n workflows, and also the CRM, pages, AI prompts and operations around them, full-time, in your Slack.
