The week that sends founders looking for an executive assistant

If three of these are true, you're doing a job you could hand to someone else. Most founders tell us they waited 12 to 18 months too long.

11 pm

Email after dinner

The inbox is the last thing you touch at night and the first thing you open in the morning.

Every Monday

Your calendar runs you

Reschedules, time zones, double bookings. You are your own scheduler and you hate it.

Last week

A follow-up slipped

A client went quiet for seven days and nobody noticed until the deal was gone.

Always

Nothing is written down

Every process lives in your head, so nothing moves when you take a day off.

Last time

The VA who made more work

You wrote the instructions, checked the work and fixed it. It was faster to do it yourself.

Next quarter

"I'll hire after the launch"

You know you need help. There is never a quiet week to go and find it.

"I've had three different executive assistants before, and I thought it was me, right? I was burning through them. They just weren't up to the task."
Eric RitterEric RitterMatched to Agustina

Usually it isn't the founder. It's who got hired and how the work was handed over. We fix both.

Where this started

I was an executive assistant before I was a co-founder

Kasim Aslam hired me off Freelancer.com in 2018. I was 18.

Kasim Aslam and Ivan Bunin, co-founders of Pareto Talent, in Colombia
Ivan Bunin
Co-Founder, Pareto Talent. Kasim's assistant, 2018.

I asked for $1,000 a month. Kasim offered me $1,200. Solutions 8 had six employees, and I started with his inbox and his calendar.

Nobody trained me. I learned the job by doing it, then the tech, then the whole stack. By 2022 I was CEO, and I ran the due diligence when we sold the company.

Kasim went through dozens of assistants before me. Most never got the training or the backup to become more than a task list. That is the gap Pareto fills: we train the person before they start, match them to how you work, and keep coaching both of you after.

Virtual assistant vs executive assistant

What changes when your assistant owns the outcome

A virtual assistant waits for the next task. A Right Hand acts on what they notice. Here's how that sounds in a normal week.

A typical virtual assistantReactive

Waits"You asked me to send the email, so I sent it."
Anticipates"I noticed the client hasn't responded in 7 days. Want me to follow up? I've already drafted the message."

What founders told us their Right Hand did

"She created five listings for me on Zillow using some other listings that I had. She jumped right in and figured that out, and did a great job. All I had to do was add a couple things, and I went live with those listings."

"Santiago's doing great. I'm really impressed with him so far. Every time I give him something, he jumps on it immediately. If he doesn't know the answer, he just gets on a call with people and finds out the answer. He's very self-efficient, which is exactly what I need."

How we vet

How we vet every executive assistant

Anyone can interview well, so we don't hire on the interview. We hire on ten days of live training and a build that has to work. Since 2024, 36,186 people have applied. Here's how many made it through each step.

Counts of people at each step, from our applicant records. Bar lengths are to scale.

The four steps

What it takes to get matched with you

Each step is scored. Miss the bar and you don't move on, no matter how good the interview would have been.

  • Application. Written answers in English, a scored English test, the Predictive Index assessment and a video intro.
  • 10-day live bootcamp. 40+ hours on Claude, ChatGPT, Claude Code, Lovable, GoHighLevel, Zapier and n8n, plus inbox, calendar and project management.
  • Five-day final build. A real project scored out of 25. Every deliverable has to be a working link. One broken link fails it.
  • Interview. A structured interview before anyone is matched to a founder.

How matching works

Three profiles in 24 hours. You pick one.

A great assistant in the wrong seat still fails. So we match on how you work, and then you make the call.

1
Step 1

Matching Call

We learn what you want off your plate, the tools you run and the hours you keep.

2
Step 2

3
Step 3

Three profiles, you interview

Within 24 hours: a video intro, strengths and a fit summary for each. Interview all three and choose.

4
Step 4

30-day onboarding

Your Client Success Manager runs the first month with you. The goal is your first hours back by Day 7.

The Matching Guarantee: If we don't find a match you're truly excited about, you owe us nothing. No contracts until you find your person.

Why Latin America

Why we hire executive assistants in Latin America

Your hours are their hours. Colombia and Argentina sit within two hours of US Eastern time. Your Right Hand is online when you are, so a handoff at 2 pm gets done the same afternoon instead of overnight.

The talent is there, and it wants to stay. 95% of the people who apply to us live in Latin America. The ones who pass our build are fluent in English and looking for real work with one founder. We pay above local rates and keep training them after placement, so the good ones don't leave.

We run the whole relationship. They work as independent contractors through Pareto. We handle the contract and the pay, a Client Success Manager runs reviews and coaching, and 250+ other Right Hands are a message away when they get stuck.

Common Questions

Hiring an executive assistant: what founders ask

How do I hire an executive assistant through Pareto?+
Go to paretotalent.com/matching, answer two quick questions and book your Matching Call. If we're a fit, you fill in a short matching questionnaire and we send three hand-picked profiles within 24 hours. You interview them and pick one. They start full-time on your hours, and the goal is your first hours back by Day 7.
How much does a Latin American executive assistant cost with Pareto?+
$3,600 a month on the monthly plan, $10,000 a quarter, or $36,000 a year. Every plan has a one-time $3,000 placement fee on the first invoice. That covers the person, their training, their core AI tool subscriptions, the Delegation Mastermind for you and a Client Success Manager for both of you. If you want salary ranges for hiring on your own, read our executive assistant cost guide.
How do you vet your executive assistants?+
We test the work. Applicants complete a scored application: an English test, the Predictive Index assessment and a video intro. The best are invited to a 10-day live bootcamp with 40+ hours of training. Then a five-day final build, scored out of 25, where every deliverable has to be a working link. One broken link fails it. Then a structured interview. Since 2024, 36,186 people have applied and 518 have passed the final build.
Who employs my executive assistant?+
They work as an independent contractor through Pareto. They sign our contractor agreement, we handle the contract and the pay, and you pay us one fee. They work full-time and only for you, with a Client Success Manager behind the relationship.
What if my executive assistant doesn't work out?+
We replace them at no cost. That's Lifetime Replacement: for any reason, at any time, no fees and no waiting period. Before you start, the Matching Guarantee covers you too. If we don't find a match you're truly excited about, you owe nothing.
Can I hire a virtual assistant from Latin America through Pareto?+
Yes. Most founders who search for a virtual assistant want someone to take work off their plate and keep it off. That's what we place: a full-time virtual executive assistant in Latin America, on your hours, working only for you, trained on AI and vetted with a real work test. If you only need a few hours of task work a week, we're probably not the right fit.
What is a virtual executive assistant?+
An executive assistant who works remotely. They run your inbox, calendar, follow-ups and projects from another city or country, usually full-time on your hours. The difference from a task-based virtual assistant is ownership: you hand over the outcome, not a list of steps. Every Pareto Right Hand is a virtual executive assistant based in Latin America.
What's the difference between a virtual assistant and an executive assistant?+
A virtual assistant usually does the tasks you assign, often part-time and shared across clients. An executive assistant runs your day: inbox, calendar, follow-ups, projects and the loose ends you forgot about. Ours are full-time, work for one founder and know the AI tools. We call them Right Hands because that's the job I did for Kasim.
Which country will my executive assistant be from?+
Somewhere in Latin America. 95% of our applicants live there, and Argentina and Colombia send us the most. We match on fit first: how you work, your hours, your tools and what you want off your plate. If you care about a specific country, tell us on your Matching Call.
Can I hire a part-time executive assistant?+
No. We place full-time only: 40 hours a week, one founder. Someone who only works on your business learns your people, your preferences and your shorthand, and gets more useful every month. Split them across five clients and that never happens.
How good is their English?+
Every applicant takes a scored English test, and C1 or above gets full marks. Of the people who pass our final build, 72% test at C1 or higher. The whole bootcamp runs in English, and so does everything after it.
Do your executive assistants know AI tools?+
Yes. The bootcamp covers Claude, ChatGPT, Claude Code, Lovable, GoHighLevel, and automations in Zapier and n8n. The final build has to work end to end. After placement they keep training, with 104+ sessions a year, and we cover their core AI tool subscriptions.
