Hire a virtual executive assistant who works only for you

One person, full-time, on your inbox, your calendar and every follow-up.

I was Kasim Aslam's assistant before I was his co-founder. Now we train and place Right Hands. Every one passed a 10-day live bootcamp and a scored five-day work test before you see their profile.

The role

What is a virtual executive assistant?

A virtual executive assistant is an executive assistant who works remotely. They run your inbox, calendar, follow-ups, travel and projects from another city or country, usually full-time on your hours. The difference from a virtual assistant is ownership. You hand over whole areas of work, and they decide what to do next.

That last part is the whole job. If you still have to write the steps, check the work and remember to ask about it, you have a task service. A good executive assistant takes "my calendar" off your list and you stop thinking about it.

What they do

What does a virtual executive assistant do for a founder?

They take the work that keeps you at your desk after dinner. In week one that's usually email and the calendar. By the end of month one it's follow-ups, invoices, travel, vendors and the CRM. After that, a good one starts building: SOPs, automations and AI tools for the work you used to do by hand.

Not sure what to hand over first? I wrote down the order we use: what to delegate to an executive assistant.

Virtual assistant vs virtual executive assistant: what's the difference?

A virtual assistant does the tasks you assign, often part-time and split across several clients. A virtual executive assistant runs part of your business for you, full-time: they notice what's slipping, fix it and tell you after. You manage a virtual assistant. A good executive assistant manages your week.

US pay benchmark$22.86 an hour median for secretaries and administrative assistants$36.82 an hour median for executive assistants

US pay: BLS Occupational Employment and Wage Statistics, May 2025, SOC 43-6014 and SOC 43-6011, pulled from the BLS public data API on October 12, 2026. US in-office employees, shown as the closest official benchmark for each role.

My honest take: if you need five hours a week of data entry, hire a virtual assistant. It's cheaper and it's the right tool. If you're the bottleneck in your own company, more hands on tasks won't fix it. You need one person who owns things.

Why we do this

I was a virtual executive assistant first

Kasim hired me off Freelancer.com in 2018. I was 18. I started with his inbox and his calendar.

Nobody trained me. I learned the job by doing it, then the tech, then the rest of the company. By 2022 I was CEO of Solutions 8, and I ran the due diligence when it sold.

What made it work was that Kasim handed me whole areas, not tasks, and kept handing me more. Most assistants never get that, or the training to deserve it. Pareto gives them both before they start. Kasim has three Right Hands from Pareto now. Mine, Ampy, was our first internal hire.

Cost

How much does a virtual executive assistant cost?

With Pareto, $3,600 a month, $10,000 a quarter or $36,000 a year, plus a one-time $3,000 placement fee. For comparison, the median US executive assistant earns $76,590 a year before benefits, and about $109,400 once benefits and payroll costs are added.

US executive assistant, salary only$76,590
Pareto, monthly plan, with placement fee$46,200
Pareto, annual plan, with placement fee$39,000

US salary: BLS OEWS, May 2025, median for executive secretaries and executive administrative assistants. With benefits is our calculation: the median divided by 0.70, the wage share of private employer compensation in BLS Employer Costs for Employee Compensation, June 2026. It leaves out recruiting costs.

What the fee covers

  • Your full-time Right Hand. Fluent in English, works your hours, only for you.
  • Training that keeps going. 40+ hours before placement, then 104+ sessions a year.
  • Their core AI tool subscriptions, paid by Pareto.
  • The Delegation Mastermind for you. Weekly live calls with Kasim and other founders.
  • A Client Success Manager who runs reviews and coaching for both of you.
  • Three guarantees, including Lifetime Replacement. Details below.

Three ways to start. One program.

Every plan includes a one-time $3,000 placement fee on your first invoice. You selected Annual: that's $7,200/yr less than paying monthly.

How to hire one

How to hire a virtual executive assistant

List what you'll hand over, decide whether it's a full-time job, test candidates on real work, hire for how you work, and plan the first 30 days before they start. Whether you hire through us or not, that's the order I'd do it in.

Or skip steps 2 to 4. Every Right Hand already passed a 10-day live bootcamp and a five-day final build scored out of 25. You get three profiles in 24 hours, interview them and pick one.

  1. Write down what you'll hand over

For one week, note every task you did that someone else could do. Then group them into areas: inbox, calendar, clients, money, travel. You're hiring someone to own areas. Our delegation matrix shows where to start.

  2. Decide if it's a full-time job

If the list fits in a few hours a week, a part-time virtual assistant is fine. If it's your inbox, calendar and follow-ups every day, it's a full-time job, and a part-timer will always be catching up.

  3. Test the work, not the interview

Structured interviews (r = .42) and work samples (.33) predict job performance far better than years of experience (.07), per a 2022 meta-analysis by Sackett and colleagues. Give finalists a paid task that looks like a real week. Here's the work-sample test we use.

  4. Hire for how you work

A detail-first assistant and a big-picture founder can grind each other down, even when both are good. We have you and every candidate take the same Predictive Index assessment and only shortlist strong fits.

  5. Plan the first 30 days

Meet for 10 minutes every day for the first month. Hand over one area at a time, starting with the calendar. Write down how you like things done the first time you explain them. The goal is your first hours back by Day 7.

Zero risk

What if your virtual executive assistant doesn't work out?

We replace them at no cost, for any reason, at any time. And before you start, you owe nothing until you've found someone you're excited about. Three guarantees cover the whole relationship.

That covers the person, their training, core AI tool subscriptions and a Client Success Manager. How do I hire a virtual executive assistant?+

With Pareto you book a Matching Call at paretotalent.com/matching, get three hand-picked profiles within 24 hours, interview them and choose one.
Can a virtual assistant be an executive assistant?+
Yes, if they're trained for it and work for one person. The job title matters less than the scope. A virtual assistant who splits their week across five clients can only do tasks. Give one person your inbox, calendar and follow-ups full-time, and train them properly, and you have an executive assistant who happens to be remote.
Is a virtual assistant worth it for a small business?+
For a few hours of repeatable tasks a week, a part-time virtual assistant is often the cheaper and better choice. If you're the bottleneck and your inbox, calendar and follow-ups run your day, a part-time VA usually just moves the work around. That's when a full-time virtual executive assistant pays for itself.
Is a remote executive assistant the same as a virtual executive assistant?+
Yes. Remote executive assistant, virtual executive assistant and executive virtual assistant all describe the same job: an executive assistant who doesn't sit in your office. Most job boards use "remote", most services use "virtual". We call ours Right Hands, and every one works full-time from Latin America on your hours.
How many hours will my virtual executive assistant work?+
Full-time: 40 hours a week, for one founder, on your hours. We don't place part-time or shared assistants. Someone who only works on your business learns your people, your preferences and your shorthand, and gets more useful every month. Split across several clients, that never happens.
Where are Pareto's virtual executive assistants based?+
Latin America, within a few hours of US time zones. Argentina and Colombia send us the most applicants. They work as independent contractors through Pareto: we handle the contract and the pay, and you pay us one fee. Read why we hire executive assistants in Latin America.
