ChatGPT Business: Plans, Pricing, Setup and 15 Use Cases (2026)

TL;DR

ChatGPT Business is OpenAI's self-serve plan for teams, renamed from ChatGPT Team on August 29, 2025. A standard seat costs $25 a month, or $20 billed annually. A premium seat costs $125, or $100 annually, with 5x the usage and no 5-hour limit. You need at least 2 seats and can buy up to 200. Every seat includes ChatGPT, ChatGPT Work and Codex, OpenAI doesn't train on your workspace data, and you get admin roles, SSO and spend controls. You don't get SCIM, custom retention or an API allowance. Two dates matter: custom GPTs are scheduled to retire on December 11, 2026, so build plugins instead, and the old ChatGPT agent has been replaced by ChatGPT Work. For 2 or more people doing company work, Business beats a stack of personal Plus accounts. Everything here was checked on OpenAI's Help Center on 2026-10-22.

Most pages about "ChatGPT for business" are a list of prompts. That's not your problem.

Your problem is a decision and a setup. Which plan do you buy for your team? What does it really cost at 10 people? What can your admin control, and what can't they? Is your client data safe? And what do you switch on in week one so people use it for more than rewriting emails?

This guide answers those, for ChatGPT only, from OpenAI's own Help Center, opened today. Where OpenAI doesn't publish a number, I say so instead of guessing.

My bias, stated once. Pareto Talent runs on Claude, not ChatGPT. We're a paying Claude Team customer and have no commercial relationship with OpenAI or Anthropic. If you want the head-to-head, it's in Claude vs ChatGPT. This page is for the team that has already picked ChatGPT, or is about to.

01 · The Plan

What is ChatGPT Business?

ChatGPT Business is OpenAI's self-serve workspace plan for teams. It was called ChatGPT Team until August 29, 2025. You get a shared workspace, central billing, admin roles, SSO, and standard or premium seats that each include ChatGPT, ChatGPT Work and Codex. OpenAI says it won't train on your workspace data.

Three things changed in 2026 that most articles still miss:

  • Seats are capacity, not people. You buy standard or premium seats, then assign them. Owners can swap a standard and a premium seat between two members without a new charge.
  • Codex seats are gone for new workspaces. Since June 24, 2026, new Business workspaces can't add the legacy Codex-only seat. Standard and premium seats already include Codex.
  • There's a seat cap. Workspaces created from August 24, 2026 can hold 200 paid seats at most. OpenAI support can't raise it; above 200, you need Enterprise.

What ChatGPT Business is not: an API plan. A Business subscription includes no API usage, and API credits don't transfer into it. If a developer on your team builds on the OpenAI API, that's a separate bill.

02 · The Choice

ChatGPT Plus vs Business vs Pro vs Enterprise: which plan fits?

Plus ($20) and Pro ($100 to $500) are personal plans for one person. Business ($25 a seat, or $20 annual) is the first plan built for a company: shared workspace, admin roles, SSO, and no training on your data by default. Enterprise is sales-led and adds SCIM, role-based access, custom retention and data residency.

Plus Pro Business Enterprise
Price $20 a month, monthly only $100, $200 or $500 a month, monthly only $25 a seat, or $20 annual. Premium $125, or $100 annual Not published; through sales
Who it's for One person One heavy user Teams of 2 to 200 Large or regulated organizations
Trains on your chats? Yes, unless you turn off "Improve the model for everyone" Same as Plus No, by default No, by default
Admin roles and central billing No No Yes: owner, admin, analytics viewer, member Yes, plus groups and role-based access
SSO No No Yes, SAML or OIDC Yes
SCIM provisioning No No No Yes
Create new custom GPTs No No Yes, until GPTs retire Yes, until GPTs retire
Company Knowledge No No Yes Yes
Data retention control Your own chats only Your own chats only Deleted chats removed within 30 days; OpenAI's pages disagree on admin control Custom retention, set by admins
Compliance API, data residency No No No Yes

ChatGPT Plus vs Business: what changes at $5 more a seat?

At monthly prices, a Business standard seat costs $5 more than Plus. On annual billing it costs the same $20. For that you get a company-owned workspace, no training on your data by default, SSO, roles, shared projects for groups, Company Knowledge and the right to build GPTs and workspace agents. The catch: 2 seats minimum, and the workspace, not the person, owns the work.

That last point is the real reason to switch. When someone leaves, their Plus account and everything in it leaves with them. In Business, the owner removes the member and the seat stays for the next hire.

ChatGPT Business vs Pro: which is better for one heavy user?

Pro is a personal plan with more usage; Business Premium is a company seat with more usage. A Business premium seat is $125 a month, or $100 annually, and gets 50 GPT-6 Pro messages a week. Pro 100 and Pro 200 also include GPT-6 Pro, and Pro 500 adds Ultrafast mode, which Business doesn't have. OpenAI's FAQ is explicit: Premium is a Business seat type, "not a rename" of personal Pro.

My rule: if the heavy user works on company data, put them on a Business premium seat so the data stays under your policy. Pro is for a solo founder with no team yet.

ChatGPT Business vs Enterprise: when do you need to call sales?

You need Enterprise when IT requires SCIM, role-based access by group, custom retention, a Compliance API, data residency, or more than 200 seats. You also need a contracted plan for invoice billing, purchase orders, wires, net terms, Zero Data Retention or a HIPAA BAA. For a 5 to 50 person company without those, Business covers it.

03 · The Cost

How much does ChatGPT Business cost for 2, 10 and 50 people?

On annual billing, 2 people cost $40 a month, 10 people with one premium seat cost $280 a month, and 50 people with five premium seats cost $1,400 a month. Monthly billing adds $5 a standard seat and $25 a premium seat. Usage past the included limits is billed in workspace credits on top.

Team Seat mix Annual billing, per month Monthly billing Same people on Plus
2 people 2 standard $40 $50 $40
5 people 5 standard $100 $125 $100
10 people 9 standard, 1 premium $280 $350 $200, but no admin, training on by default
25 people 23 standard, 2 premium $660 $825 $500, same caveats
50 people 45 standard, 5 premium $1,400 $1,750 $1,000, same caveats

My arithmetic from the seat prices in OpenAI's Business overview and Plus articles, opened 2026-10-22. The premium-seat counts are my assumption: one per person who builds or runs long Work and Codex tasks.

Three costs the seat price hides:

  • Credits. When a seat runs out of included usage, work can continue on workspace credits, if the owner bought them and spend controls allow it. Credits are valid for 12 months and are non-refundable outside narrow exceptions. By default there's no monthly cap on any seat, so set one.
  • Codex. OpenAI's own rate card estimates Codex at about $100 to $200 per developer per month on average, varying with the model, parallel tasks, automations and fast mode. That's for people coding every day, not someone who builds one tool a month.
  • Seat timing. Added seats are charged right away, prorated. Removing a member frees the seat but doesn't cut the bill. The owner has to schedule a seat reduction, which takes effect next billing cycle, and unused seats don't qualify for a refund on their own.

Run your own numbers. It uses OpenAI's published seat prices only.

04 · The Admin

What do admins get in ChatGPT Business?

Business has four roles: owners control billing, seats, identity and workspace settings; admins manage members and routine settings; analytics viewers see usage; members use ChatGPT and build GPTs. Admins also get SSO, domain verification, app controls and monthly credit limits per seat type or per person. They don't get SCIM or group-based access.

Control Who What it does
Buy, assign and swap seats Owner only Sets who has standard or premium usage; sets the default seat type for new members
Invite and remove members Owner, admin (members can invite too) Bulk invites by CSV: email, role, seat type
SSO and verified domains Owner SAML or OIDC through your identity provider; included with Business
Workspace discovery Owner Lets people with your company email find and request to join, or join without approval
Spend controls Owner, admin Monthly credit limits by seat type, plus per-user overrides; no limits by default
Credits and automatic reload Owner only Buys credits; reloads to a target balance, with an optional monthly cap
Apps and plugins Owner, admin Enable or disable apps for the whole workspace; manage up to 25 plugins at once
GPT settings Owner Controls GPT sharing and publishing in the workspace
Usage analytics Owner, admin, analytics viewer Usage and credit metrics, not chat transcripts

Sources: OpenAI Help Center, Managing members, seat types, and roles, Managing credits and spend controls, Setting up SSO, Admin controls for plugins and apps and Business release notes. All opened 2026-10-22.

Two gaps to know before you roll it out:

  • You can't stop members from inviting members. OpenAI's FAQ says it isn't currently possible to restrict this while the workspace has free seats. Keep spare seats at zero, or check pending invites weekly.
  • Removing someone doesn't save money. It ends their access immediately. The billing seat stays until an owner schedules a reduction.

05 · Connectors

Which apps and connectors work with ChatGPT Business?

In Business, apps are enabled by default, and admins can switch any of them off for the whole workspace. Named apps include Google Drive, Google Calendar, Slack and SharePoint. Company Knowledge searches across the apps each person has connected. Owners, admins and authorized members can add custom apps over MCP for your own systems, like a CRM.

What matters for a business, in plain terms:

  • Permissions carry over. Company Knowledge only returns what a person can already see in the source app. It doesn't widen anyone's access.
  • On by default means on. Apps are enabled by default in Business, and Google Drive's actions are on by default in Business too, while they start off in Enterprise. Decide what you want before people connect accounts.
  • Event triggers. Members can create tasks in ChatGPT Work that fire on a new Gmail message, a Slack message or a GitHub event, using their own connected access.
  • @ChatGPT in Slack and Microsoft Teams. Business can install @ChatGPT in Slack and Teams, configured by your admin with the instructions and connections it may use.
  • Custom connectors carry risk. OpenAI says custom apps aren't verified by OpenAI and are intended for developer use. Only add one if you trust what's behind it.

06 · GPTs, Plugins, Projects

Should you still build custom GPTs, or use projects and plugins?

Don't build new custom GPTs. OpenAI plans to retire them on December 11, 2026 and recommends plugins instead: reusable instructions, files and connected apps in one package. Use projects for shared context on one piece of work, and plugins for a repeat workflow the whole team runs.

Here's the state of each, as OpenAI documents it today:

Feature What it is Business status, 2026-10-22 Use it for
Custom GPTs A saved assistant with instructions, up to 20 knowledge files and tools Business members can still create them; retirement scheduled Dec 11, 2026. Custom actions don't migrate automatically Nothing new. Inventory the ones you rely on
Plugins Skills plus connected apps plus app templates, installable by the workspace Available; admins set each one to available, installed for everyone, or disabled Repeat workflows: weekly report, proposal draft, intake triage
Projects A shared folder of chats, files and instructions Business projects hold up to 40 files and 100 collaborators; share with people or groups One client, one launch, one hire
Workspace agents Agents built for a repeatable task, with tools, apps, skills and a schedule Available in Business; can run in Slack or be triggered by an API call Hands-off recurring work

Sources: OpenAI Help Center, Creating and editing GPTs, Custom GPT retirement and migration FAQ, Plugins in ChatGPT, Projects in ChatGPT and Workspace agents for Enterprise and Business. All opened 2026-10-22.

If your team already runs on a few GPTs, do this now. List them. Note which use custom actions, because those integrations don't transfer and need rebuilding. Save three prompts per GPT so you can compare the plugin version against the original. Migration uses the latest published version, so drafts don't carry over.

07 · Agents and Codex

What can ChatGPT Work, workspace agents and Codex do for a business?

ChatGPT Work is the agent for longer tasks: give it a goal and it researches, analyzes and produces a document, spreadsheet, presentation, report or Site. Workspace agents run a repeat job on a schedule, in Slack or from an API call. Codex writes and tests code, and Codex Cloud keeps going while your laptop sleeps. All three come with a standard seat.

  • ChatGPT agent is gone. OpenAI's Help Center now says ChatGPT agent "is no longer available" and points to ChatGPT Work. Some OpenAI pages still list it as a Business feature, so expect old tutorials to be wrong.
  • Work and Codex share one allowance. Usage depends on the model, the size of the task and the reasoning level, so OpenAI doesn't promise a fixed number of tasks. A premium seat has 5x the allowance and no 5-hour window.
  • Workspace agents can act as their builder. If an admin allows publishing agents with personal connections, anyone who runs the agent may access data or take actions through the builder's accounts. OpenAI flags this itself. Keep it off unless you know exactly who uses the agent.
  • Dots. OpenAI's Business page advertises "dots", always-on agents, for premium seats in eligible markets. It's new; I'd wait for the Help Center documentation before relying on it.

For a non-technical founder, Codex is the most underrated part of the seat. It's how you get a quote calculator, an intake form that writes to your CRM, or a lead-routing script without hiring a developer. It's also where most teams stall, because someone has to decide what to build, connect it to real systems and keep it working.

08 · Privacy

Does ChatGPT Business train on your data, and who can see your chats?

No. OpenAI says it won't train on ChatGPT Business workspace data by default, including data reached through apps, agents and Codex. Data is encrypted at rest (AES-256) and in transit (TLS 1.2+), and Business has completed a SOC 2 Type 2 audit. Each member's chats are private unless they share them.

The details a business owner should know:

  • Admins and chats. OpenAI's Help Center says admins and owners can't see all private member chats by default, and owners can export a member's data when that option is available. OpenAI's Enterprise privacy page says Business admins "can view, access, export, and delete" member conversations. The two pages don't match, so tell your team that the company may be able to access workspace chats.
  • Retention. Deleted or unsaved Business conversations are removed from OpenAI's systems within 30 days unless the law requires otherwise. The privacy page's Business FAQ says admins can control retention, but its own summary lists retention control for Enterprise, Healthcare and Edu only. Ask OpenAI before you rely on a custom period.
  • Shared links stay inside. A shared chat link only opens for members of your workspace. But you can't switch shared links off for everyone; that control is Enterprise only.
  • No self-serve export. Members can't export their own Business data. If you ever leave, plan the export with your owner first.
  • A DPA is available. OpenAI can sign a Data Processing Addendum for Business to support GDPR compliance.
  • Not for regulated data. Zero Data Retention and BAAs need a contracted plan, not self-serve Business.

The biggest privacy risk isn't OpenAI. It's staff using personal Plus accounts for client work, where model training is on until they turn it off. Buying Business and asking people to use it is the cheapest privacy control you have.

09 · Setup

What should you set up in week one?

Set up SSO and your domain, assign seats on purpose, cap credit spend, decide which apps are on, move company work off personal accounts, then build two or three shared projects and one plugin for a job your team repeats every week. That's a day of work for a 5 to 50 person company, and it decides whether anyone uses the seats.

An AI operator with a clipboard stands among small department desks, each with a floating app tile, linked by glowing lines to one shared folder tile above her.

Day 1: the workspace

  1. Create the workspace as the right owner. Use a company email, not a personal one, and add a second owner so you're never locked out.
  2. Verify your domain and turn on SSO under Workspace settings, then Identity and access. Business supports SAML and OIDC.
  3. Choose discovery. Decide whether people with your company email can request to join, or join without approval.
  4. Invite by CSV with email, role and seat type. Give premium seats only to people who will run long Work or Codex tasks.
  5. Set the default seat type to standard under Workspace settings, then Billing.

Day 2: money and data

  1. Set monthly credit limits for each seat type, plus overrides for your heavy users. The default is no limit.
  2. Decide on automatic reload. If you turn it on, set a monthly recharge limit; blank means unlimited.
  3. Review apps. They're on by default in Business. Switch off anything you don't want touching company data, and check Google Drive's actions.
  4. Write a one-page AI policy. What may go into ChatGPT, what may not, and "company work only in the Business workspace".
  5. Retire personal accounts for work. Ask people to keep their personal workspace separate or merge it. A merge can't be undone, so let each person choose.

Days 3 to 5: make it useful

  1. Create a company-context project with your offer, pricing, tone of voice and FAQs. Share it with the whole workspace.
  2. Create one project per active client or launch, shared with only the people on it.
  3. Install Company Knowledge and connect Drive, Slack and your email so answers come from your own files.
  4. Build one plugin for your most repeated job, like the weekly client update.
  5. Inventory existing GPTs and plan their move to plugins before December 11, 2026.
  6. Book a 30-minute review in week four. Check usage analytics, credit spend and who hasn't logged in.

Settings and defaults from OpenAI's Help Center articles on members and roles, SSO, credits and spend controls, plugins and apps and the General FAQ, opened 2026-10-22. The order and the policy steps are my recommendation.

10 · Use Cases

15 ways to use ChatGPT Business, by department

The best uses pair a repeated job with the right feature: a project for shared context, a plugin for a repeat format, Work for a finished document, a workspace agent for a schedule, Codex for a small tool. Here are 15 we'd set up first for a small business, with the feature each one relies on.

# Department The job ChatGPT feature
1 Sales Prep a one-page brief before every call from the CRM record and past emails Company Knowledge with your CRM and Gmail connected
2 Sales Turn call notes into a follow-up email in the founder's voice Plugin with a skill holding your tone and template
3 Sales Draft proposals from a scope call and your price sheet Project with past proposals and pricing as files
4 Marketing Turn one long video transcript into a week of posts Plugin with your format rules
5 Marketing Make ad image variations from one winning creative Image generation
6 Marketing Write a monthly campaign report from exported results Work, delivering a document or Site
7 Customer service Draft replies to common questions from your help docs Project with FAQs and policies
8 Customer service Post a weekly summary of complaint themes to Slack Workspace agent on a schedule
9 Operations Turn a recorded walkthrough into a step-by-step SOP Project plus file upload
10 Operations Build a simple intake form that writes to your CRM Codex, with a custom MCP app for the CRM
11 Finance Explain month-over-month changes in a P&L export Data analysis on an uploaded spreadsheet
12 Finance Flag overdue invoices and draft reminders, sending none Workspace agent with email connected, approval on
13 HR and hiring Write a job description and a scorecard from a role brief Project with past job posts
14 HR and hiring Screen applications against the scorecard Work on uploaded applications
15 Leadership Prepare a Monday brief from last week's Slack, email and calendar Workspace agent on a schedule, posting to Slack

Features mapped from OpenAI's Help Center articles listed under Sources, opened 2026-10-22. These are our recommended starting uses, not measured results.

Notice the pattern. Only two of the fifteen are "ask ChatGPT a question". The rest need someone to build a project, write a skill, connect an app or schedule an agent once. That setup is where the value is, and it's the part a seat doesn't do for you.

11 · The Verdict

Is ChatGPT Business worth it for a small business?

Yes, once 2 or more people use ChatGPT for company work. On annual billing a standard seat costs the same $20 as Plus, and you get no training on your data by default, SSO, admin roles and a workspace the company owns. It isn't worth it if nobody sets it up: 10 seats used as a chatbot is $2,400 a year for better email drafts.

Your situation Buy
Solo founder, no team Plus at $20. Turn off model training in Data controls
2 to 10 people doing client work Business, standard seats, annual billing
One person builds tools or runs agents all day Add one premium seat for them
10 to 200 people, no IT requirements Business, with SSO on and spend limits set
You need SCIM, data residency, audit logs or a BAA Enterprise, through OpenAI sales
Over 200 seats Enterprise
Choosing between ChatGPT and Claude Read Claude vs ChatGPT first

My recommendation from OpenAI's documented plan limits, opened 2026-10-22.

ChatGPT Business vs Claude Team

Claude Team has the same seat prices: $25 a standard seat, or $20 annual, and $125 or $100 for a premium seat, per Anthropic's Help Center on 2026-10-22. So the price doesn't decide it; the tools do. The full comparison, including privacy defaults, is in Claude vs ChatGPT, and if you're pricing the Claude side, the Claude pricing guide covers every plan. For the rest of the stack around either one, see the best AI tools for small business.

What actually decides whether it works

The companies that get value from ChatGPT Business aren't the ones with more seats. They're the ones where one person owns it: sets the controls, builds the projects and plugins, connects the apps, schedules the agents, and fixes them when something changes. On most teams nobody has that job.

A ChatGPT seat doesn't build your workflows. An AI Operator does.

FAQ

Frequently asked questions

What is ChatGPT Business?
ChatGPT Business is OpenAI's self-serve workspace plan for teams, formerly called ChatGPT Team. It gives a company a shared workspace with central billing, admin roles, SSO and spend controls. Standard and premium seats both include ChatGPT, ChatGPT Work and Codex, and OpenAI doesn't train on workspace data by default.
How much does ChatGPT Business cost?
A standard seat costs $25 per user per month, or $20 per month billed annually. A premium seat costs $125 per month, or $100 billed annually. A workspace needs at least 2 paid seats, in any mix. Usage beyond the included limits is paid with workspace credits. Prices checked on OpenAI's Help Center on 2026-10-22.
Is it worth getting ChatGPT Business?
For two or more people doing company work, yes. On annual billing a standard seat costs the same $20 as Plus, and adds no training on your data by default, SSO, admin roles and company ownership of the work. It's only worth it if someone sets up projects, plugins and connected apps; otherwise it's an expensive chatbot.
What is better, ChatGPT Plus or Business?
Plus is better for one person on their own. Business is better as soon as a team uses ChatGPT for company work. Business adds admin controls, SSO, shared projects for groups, Company Knowledge and no training on workspace data by default. It needs at least 2 seats and costs $25 a seat monthly or $20 annually, against $20 for Plus.
What is the difference between ChatGPT Business and Pro?
Pro is a personal plan at $100, $200 or $500 a month with high usage limits for one person. Business is a company workspace with admin controls, priced per seat. The closest match to Pro inside Business is a premium seat: $125 a month or $100 annually, with 5x a standard seat's usage, no 5-hour limit and 50 GPT-6 Pro messages a week.
How much does ChatGPT Premium cost?
If you mean a ChatGPT Business premium seat, it costs $125 per user per month, or $100 per month billed annually, and includes 5x the usage of a standard seat. If you mean a premium personal plan, ChatGPT Plus is $20 a month and ChatGPT Pro is $100, $200 or $500 a month, all billed monthly.
Is ChatGPT Team the same as ChatGPT Business?
Yes. OpenAI renamed ChatGPT Team to ChatGPT Business on August 29, 2025. Existing Team workspaces became Business workspaces with no migration or new contract needed. The rename itself didn't change features or prices, though OpenAI has changed seat types and pricing separately since then, including the premium seat.
Does ChatGPT Business use my data for training?
No, not by default. OpenAI says it won't train on ChatGPT Business workspace data, including information reached through connected apps and Codex. Data is encrypted at rest and in transit, and Business has completed a SOC 2 Type 2 audit. Personal Plus and Pro accounts are different: training is on until you switch it off.
