AI for law firms: who builds it, and who runs it

You can buy legal AI in an afternoon. The question is who makes it work in your firm.

A certified AI Operator joins your firm full-time. They build your intake, conflict check prep, follow-up and client updates on the tools you already use, then run them every week under your supervision. You approve; they build.

Meet 3 certified AI Operators in 24 hours. Your first build is live by day 14.

$3,600 a month, month to month. Every account in your name.

The real question

Who should I hire to make AI work in my law firm?

Short answer: if you want one tool, buy the tool. If you want AI running across intake, follow-up, scheduling, notes and client updates, you need a person whose job it is. An AI consultant writes the plan. An AI Operator is the consultant who stays and builds it, inside your firm, under your supervision.

Search "AI for law firms" and nearly every result is a legal software vendor listing tools. Good tools, but a tool doesn't decide how a new lead moves from your web form to a consult, who checks the conflict, or what the client hears on day three. In a small firm that work lands on the attorney, which is how AI projects stall.

A small firm has four realistic options. They differ less in what they build than in who is still there next month when a form changes or a new matter type needs its own intake.

The first 30 days

What an AI Operator builds in a law firm in the first 30 days

Ten builds that come up first in small and mid-sized firms. None of them gives legal advice. Each one moves information to the right person faster, in your accounts, with an attorney approving anything that matters.

01
Intake capture from every channel

Web forms, chat and missed calls become one structured intake record: who, what matter type, adverse parties, urgency and how they found you.

Tools Your intake form or GoHighLevel, Claude, Zapier or n8n, your practice management system

Replaces Retyping voicemails and sticky notes into the system

02
Conflict check prep

Names from intake (the client, adverse and related parties) are searched against your contacts and matters. Possible hits go to the responsible attorney in Slack to clear.

Tools Your practice management system, n8n, Claude, Slack

Replaces A manual name search that waits until someone has time

03
Speed-to-lead follow-up

A personal reply in your firm's voice goes out within minutes with a consult link, from templates you approved. It answers logistics, never the legal question.

Tools Claude, GoHighLevel or your email, your calendar

Replaces The callback that happens tomorrow, after they called another firm

04
Consult scheduling and no-show recovery

Booking, reminders by email and, with consent, text, plus a short rebook sequence for missed consults.

Tools Your calendar, GoHighLevel, Zapier

Replaces Front-desk phone tag

05
Engagement letter assembly

Your approved template is filled from the intake record and queued for attorney review, then sent for e-signature and chased until signed.

Tools Your templates, Claude, your e-signature tool

Replaces Copy, paste and re-check every field by hand

06
Document collection by matter type

A checklist per matter type, a client upload link, reminders until it's complete, and files named and filed to the matter.

Tools Your document storage, Zapier or n8n, email

Replaces Weeks of "did you get my documents?"

07
Consult and call notes

Calls are summarized into the matter with tasks assigned. Summaries are labeled as AI-generated so nobody mistakes them for the attorney's work product.

Tools Fathom, Claude, your practice management system

Replaces Notes written from memory at 7pm

08
Client status updates

A weekly plain-English update per active matter, drafted from the activity in your system and sent only after the attorney approves it.

Tools Claude, your practice management system, email

Replaces The "any update?" calls that eat your afternoons

09
Deadline and stale-matter digest

A morning digest of upcoming dates from your calendar and a list of matters with no activity in 14 days. It reads your system of record; it never replaces it.

Tools Your calendar and practice management system, n8n, Slack

Replaces Finding out a matter went quiet when the client complains

10
The Monday firm report

New leads by source, consults booked, engagements signed and intake response time, written for you every Monday.

Tools Claude, a dashboard built with Lovable or a sheet

Replaces Guessing which marketing works

Tool names are examples of what operators are trained on and connect to. Your operator builds on the systems your firm already pays for.

How the 30 days run

Day 1

Pick your operator

Within 24 hours of your call you meet 3 certified AI Operators. Interview them and choose.

Week 1

Activate

The AI Activation call maps how a lead becomes a client in your firm. Data boundaries are set before anything is touched: which tools may see client information, and which never do.

Day 14

First build live

Usually intake capture and speed-to-lead follow-up, because that's where small firms lose the most matters.

Days 15 to 30

Build and run

Conflict check prep, call notes and client updates. Every Friday: what shipped and what's next. You reply yes or no.

Compliance and data

Confidentiality, supervision and ABA Formal Opinion 512

Not legal advice. These are the questions to take to your ethics counsel or your state bar's ethics hotline before client information goes into any AI tool. Your state's rules control, and they differ.
Client consent before self-learning tools

ABA Formal Opinion 512 (July 29, 2024) says a client's informed consent is required before you input information relating to the representation into a self-learning generative AI tool, and that boilerplate in an engagement letter is not sufficient.[1] Your operator documents which tools touch client data and what each tool's terms say, so you can decide.

Prospective clients are protected too

Under ABA Model Rule 1.18, a lawyer who learns information from a prospective client may not use or reveal it, even when no engagement follows.[2] Intake data is confidential from the first form fill. It lives in your accounts, not in a tool the operator owns.

You supervise the operator

Opinion 512 says managerial lawyers must set clear policies on permissible AI use, and that Rule 5.3 duties apply to nonlawyers and outside providers: reference checks, security policies and confidentiality agreements.[1] Treat your operator as a nonlawyer assistant under your AI policy. They work remotely from Latin America, so tell your ethics counsel where your data will be handled.

Verify what AI produces

Opinion 512 ties competence to an appropriate degree of independent verification of AI output.[1] The builds above route drafts to an attorney before anything reaches a client or a court.

Billing for time AI saves

Opinion 512 says a lawyer may not charge a client to learn a generative AI tool the lawyer will use regularly.[1] Talk to your billing partner about how flat fees and hourly entries change when intake and drafting get faster.

AI voices and intake chatbots

The FCC ruled in February 2024 that calls made with AI-generated voices are "artificial" under the TCPA, which requires prior express consent for those calls.[3] Opinion 512 also flags state advertising rules for chatbots.[1] Anything that talks to the public in your firm's name gets your sign-off first.

Where the line is

What to keep human in a law firm

AI moves information. Judgment stays with the lawyer. These stay with an attorney in every build we'd recommend.

Legal advice and case evaluation

No intake bot or follow-up email assesses the merits or tells someone what to do. It books them with a lawyer.

Clearing conflicts and taking the matter

The build prepares the search. An attorney decides whether there's a conflict and whether the firm takes the case.

Fees and engagement terms

Drafts are assembled for you. An attorney reviews and signs every engagement letter.

Anything filed or sent to a court

Candor to the tribunal is yours. AI drafts are checked line by line before filing.

The docket

Reminders read your calendar. Your docketing system and the person who owns it stay the source of truth.

Hard client conversations

Bad news, settlement talks and anything emotional happen person to person.

The price

What does an AI Operator cost a law firm?

One flat monthly price for a full-time builder, whatever your practice area. For scale: a US software developer earns a median $135,980 a year (BLS, May 2025).[4]

Proof, not promises

Certified on a build, not an interview

Anyone can talk well about AI. Every operator we certify finishes 40+ hours of training, then a 5-day final project where they build a full funnel with AI, scored on a 25-point rubric, plus an interview.

Built for law firms · Florencia's final project The Law Firm Capacity Audit

Florencia built a Law Firm Capacity Audit as her final project in our AI Operator certification: an audit built for law firms, delivered inside the full AI-built funnel that every final project requires, and scored on the same 25-point rubric. It's certification work, shown with her consent. It is not a client engagement, and we don't claim results for it.

Common Questions

AI for law firms: what owners ask

Which AI tool is good for lawyers?+
It depends on the job. Research and drafting tools help with legal work, and general tools such as Claude or ChatGPT help with writing and summaries. Most small firms lose more time in intake, follow-up and client updates than in research. The best tool is the one someone wires into your practice management system and keeps running.
What will AI do to the legal profession?+
Nobody knows the long-run answer. What is clear now is that AI takes over repeatable administrative work first: intake, scheduling, notes, document collection and status updates. ABA Formal Opinion 512 keeps the duties of competence, confidentiality and supervision with the lawyer, so judgment and accountability stay human.
How can a small law firm use AI?+
Start where matters leak: slow intake response, consults that never get booked and clients chasing updates. A small firm usually gets the most from intake capture, speed-to-lead follow-up, call notes and weekly client updates. An AI Operator can have the first of those live by day 14.
What is AI intake for a law firm?+
AI intake captures every inquiry from your web form, chat or phone into one structured record, flags urgency and possible conflicts, and books a consult. It should never give legal advice or decide whether you take a case. Those stay with an attorney.
Is it ethical for lawyers to use AI?+
Yes, with care. ABA Formal Opinion 512 (July 2024) says lawyers may use generative AI if they meet their duties of competence, confidentiality, communication, supervision and reasonable fees. It requires informed client consent before inputting client information into self-learning tools. Check your state bar's guidance too.
How much does an AI Operator cost for a law firm?+
$3,600/month, month to month, plus a one-time $3,000 placement fee. It's paid once, on your call, and comes back in full if none of your 3 profiles fit. Quarterly ($10,000) and annual ($36,000) plans are also available.
