The basics

What are executive assistant services?

Executive assistant services are companies that find, supply or manage an executive assistant for you. There are five common models. They differ on four things: who vets the person, who employs them, how many clients the assistant works for, and what happens when the hire doesn't work. The price follows from those four.

01Who vets the person?
02Who employs and pays them?
03How many clients do they serve?
04What happens if it fails?

Which executive assistant service is right for you?

Pick by the size of the job. For a few hours of defined tasks, use a freelance marketplace or a VA agency. For a local, in-office assistant, use a staffing agency or hire yourself. For a full-time remote executive assistant without running the hiring, use a managed placement.

01

Freelance marketplace

You post a job or browse profiles, then hire an independent assistant directly. You set the scope and pay their hourly or project rate, plus the platform's fee.

Best for a defined task or a few hours a week.

Watch forYou do all the vetting, and most freelancers split their week across several clients. If it doesn't work out, you start over.
02

Virtual assistant agency or subscription

The agency assigns you an assistant, often from a shared pool, on a monthly plan for a block of hours. Some add a US-based account manager.

Best for overflow admin and recurring tasks you can write down.

Watch forHours caps, who actually does the work each week, and whether the assistant also serves other clients. Ask how they handle a change of assistant.
03

Executive assistant staffing or recruiting agency

The agency sources and screens candidates, you interview, and you hire one onto your own payroll. You pay the salary plus a one-time placement fee.

Best for a local, in-office executive assistant.

Watch forAfter the hire, the relationship is yours: payroll, coaching and performance. Replacement terms vary, so read them before you sign.
04

Hire in-house yourself

You write the job description, post it, screen, interview, test and employ the person. The cost is the salary plus benefits, payroll taxes and your own time.

Best for an in-office role when you have a recruiter or HR team.

Watch forInterviews are a weak filter on their own. Use a paid work sample and a structured interview, and budget weeks, not days.
05

Managed placement (what Pareto does)

The service recruits, trains and tests assistants before you call, matches one to you, and stays involved after placement. You pay one monthly fee that covers the person and the support.

Best for a full-time remote executive assistant without running the hiring yourself.

Ask any managed serviceWhat the person takes home, how they're employed, how they were tested, and exactly what happens if it stops working. Our answers are below.

How much do executive assistant services cost?

It depends on the model. Hiring in-house in the US starts with a $76,590 median salary for executive assistants, and about $109,400 a year once benefits are added. Fractional or full-time

Fractional vs full-time executive assistant: which do you need?

A fractional executive assistant works a set number of hours a month for you and for other clients, which suits a light, predictable load. Once someone has to run your inbox, calendar and follow-ups every day, you need a full-time executive assistant, because the value comes from knowing your business.

Fractional or part-time fits when

  • The work is a few hours a week and doesn't change much
  • You can write each task down before you hand it over
  • Nothing breaks if a reply waits until tomorrow

Full-time fits when

  • Your inbox, calendar and follow-ups decide how your day goes
  • You want someone to notice problems, not wait for instructions
  • You'd hand over whole areas if you trusted the person

We only place full-time, outsourced executive assistants: one Right Hand, one founder, 40 hours a week. I'd rather tell you that here than on a call. If you're after fractional help, a marketplace or VA agency is the better fit, and the table above shows what to check.

How to choose

How to choose an executive assistant service: 8 questions to ask

Ask every provider the same eight questions, and get the answers in writing. Together they tell you who carries the risk if the hire doesn't work. Our answers are next to each one, so you have something to compare against.

  1. How do you vet assistants, and is there a work test?

Interviews reward people who interview well. A paid test on real work shows you how someone actually works.

Pareto's answerA scored application with an English test, the Predictive Index and a video intro. Then a 10-day live bootcamp with 40+ hours of training, and a five-day final build scored out of 25. Every deliverable has to be a working link. One broken link fails it. Then a structured interview.

  2. Will the assistant work only for me?

An assistant split across clients can do tasks. One who works only for you learns your business.

Pareto's answerYes. Full-time, 40 hours a week, one founder, on your hours.

  3. Who employs them, and who pays them?

This decides who carries payroll, compliance and the relationship.

Pareto's answerThey work as an independent contractor through Pareto. They sign our contractor agreement, we handle the contract and the pay, and you pay us one fee.

  4. How fast will I see candidates, and do I choose?

Some services assign someone. You should meet several and pick.

Pareto's answerThree hand-picked profiles within 24 hours of your matching questionnaire, each with a video intro and a fit summary. You interview them and choose.

  5. Do I pay anything before I find someone?

You shouldn't carry the risk of a search that doesn't produce a fit.

Pareto's answerIf we don't find a match you're truly excited about, you owe nothing. No contracts until you find your person.

  6. What happens if it doesn't work out?

Replacement terms vary a lot between providers. Get them in writing.

Pareto's answerLifetime Replacement. If the match is ever not right, for any reason, at any time, we replace your Right Hand at no cost. No fees. No waiting period.

  7. Is there a guarantee on results?

A service that sells time should be willing to stand behind the time you get back.

Pareto's answerThe Freedom 40 Guarantee. Attend the Delegation Mastermind, follow the onboarding plan, and meet with your Right Hand 10 minutes daily. If you don't get at least 40 hours back within your first 30 days, your next month is on us.

  8. Who supports us after the first week?

A hire can go wrong after the start date, when nobody is coaching either side.

Pareto's answerA Client Success Manager runs a 30-day onboarding plan with you, then reviews and coaching. You join the weekly Delegation Mastermind. Your Right Hand keeps training, with 104+ sessions a year.

Common Questions

Executive assistant services: what founders ask

What is an executive assistant service?+
A company that finds, supplies or manages an executive assistant for you. Freelance marketplaces connect you with independent assistants, VA agencies rent you hours, staffing agencies recruit someone you then employ, and managed services like Pareto recruit, train, match and support a full-time assistant for one monthly fee.
What's the difference between an executive assistant staffing agency and a managed service?+
A staffing or recruiting agency finds candidates, you hire one, and the relationship is yours from then on: payroll, coaching and replacement. A managed service keeps working after the hire. It handles the contract and pay, supports the pairing, and replaces the person if it stops working.
How much do executive assistant services cost?+
It depends on the model. A US in-house hire starts at a $76,590 median salary, per the BLS, before benefits. Agency and marketplace fees vary, and there's no neutral benchmark for them. Pareto is $3,600 a month, $10,000 a quarter or $36,000 a year, plus a one-time $3,000 placement fee.
Is it better to hire an executive assistant in-house or use a service?+
Hire in-house if you need someone in your office and have the time to recruit, test and manage them. Use a service if you want someone remote and full-time without running the hiring. The real question is who carries the risk when the first hire doesn't work out.
What is a fractional executive assistant?+
An executive assistant who works a set number of hours a month for you and for other clients. It suits a light, predictable workload. Once someone needs to run your inbox, calendar and follow-ups every day, fractional stops working, because the value comes from knowing your business deeply.
Can I outsource my executive assistant?+
Yes. Outsourcing usually means someone else employs or contracts the assistant and you pay one fee. With Pareto, your Right Hand works as an independent contractor through us. We handle the contract and the pay, and they work full-time, only for you, with a Client Success Manager behind the relationship.
How fast can I hire an executive assistant through a service?+
It varies a lot by model. Marketplaces can be same-day if you do the screening yourself, and recruiting a US hire takes weeks. With Pareto you see three hand-picked profiles within 24 hours of your matching questionnaire, interview them and choose. The goal is your first hours back by Day 7.
Are executive assistant services worth it for a small company's CEO?+
Usually yes, once the CEO is the bottleneck. If your own calendar, inbox and follow-ups are what slow the company down, an executive assistant pays for itself in hours. If the work is a few hours of tasks a week, a cheaper part-time option makes more sense.
Who is Pareto's executive assistant service not for?+
Founders who need a few hours of task work a week, want someone in the office, or plan to split one assistant across a team. We place full-time Right Hands who work remotely from Latin America for one founder. If that isn't what you need, a marketplace or local agency will serve you better.
