AI for insurance agents: who builds it, and who runs it

Service work fills the day, so the selling waits. AI can take the service work, if someone builds it.

A certified AI Operator joins your agency full-time. They build renewal reminders, quote intake, service request routing and certificate requests on your management system and tools, then run them every week. Licensed people keep every coverage conversation.

Meet 3 certified AI Operators in 24 hours. Your first build is live by day 14.

$3,600 a month, month to month. Every account in your name.

The real question

Who should I hire to make AI work in my insurance agency?

Short answer: someone who can build and also knows where the licensing line is. Your agency management system and carriers already offer AI features; what's missing is the person who connects them and keeps them out of advice. An AI consultant writes the plan. An AI Operator is the consultant who stays and builds it.

The results for "AI for insurance agents" are mostly trade association resource lists, vendor guides and a Reddit thread. They agree on one thing: AI helps with the service load. They say less about the line every agency has to hold. Selling, soliciting and negotiating insurance takes a license; a bot or an unlicensed builder can't do it.

So the job is specific. Automate the administrative work around licensed people, and route anything that sounds like coverage advice to them.

The first 30 days

What an AI Operator builds for an insurance agency in the first 30 days

Ten builds that come up first. Each one prepares, reminds or routes; none of them quotes, recommends or binds.

01
Renewal reminders and remarketing flags

Policies renewing in 90, 60 and 30 days trigger a client reminder and, on a big rate change, a task for a licensed producer to review.

Tools Your agency management system, Claude, n8n, email

Replaces A renewal list printed on Monday

02
Quote request intake

Web and email quote requests become a complete, structured file (drivers, vehicles, property details, current coverage) handed to a producer, with missing items chased.

Tools Your forms or GoHighLevel, Claude, your agency management system

Replaces Three emails to collect what the first form should have

03
Service request routing

Change requests (add a car, update an address, a new mortgagee) are classified, logged and routed to the right CSR, with the client told it's in hand.

Tools Your agency management system, Claude, Slack

Replaces A shared inbox nobody owns

04
Certificate of insurance requests

Commercial clients' COI requests are captured with holder details and prepared for a licensed person to review and issue.

Tools Email, Claude, your agency management system

Replaces Retyping holder details at 4:55pm

05
First notice of loss intake

Claim reports are captured with photos and time stamps, the client gets the carrier's claim contact, and a CSR is alerted.

Tools Your forms, Zapier, Slack

Replaces Claim details scribbled during a stressful call

06
Call notes into the client record

Calls are summarized into the client file with follow-up tasks, so the next person knows what was said.

Tools Fathom, Claude, your agency management system

Replaces Notes that never made it into the system

07
Lost-quote follow-up

Quotes that didn't close get a polite check-in before their next renewal date, scheduled from the expiration date they gave you.

Tools Your CRM, Claude, email

Replaces Prospects you forgot until a competitor wrote them

08
Document collection

Applications and signatures are chased until complete, and files are named and attached to the right client.

Tools Your e-signature tool, email, document storage

Replaces Chasing signatures by phone

09
Review and referral requests

After a smooth claim or a renewal, a request goes to the client with nothing written for them.

Tools GoHighLevel or email

Replaces Asking only when you remember

10
The Monday book report

Renewals due, new business, service tasks by age, quotes pending and retention by line, written for you every Monday.

Tools Claude, a dashboard built with Lovable or a sheet

Replaces Pulling reports from three systems

Tool names are examples of what operators are trained on and connect to. Your operator builds on the management system and rater your agency already uses.

How the 30 days run

Day 1

Pick your operator

Within 24 hours of your call you meet 3 certified AI Operators. Interview them and choose.

Week 1

Activate

The AI Activation call maps your service and sales flow. The licensing line is written down: which messages any build may send, and which always go to a licensed person.

Day 14

First build live

Usually renewal reminders and service request routing, because they free the most CSR hours.

Days 15 to 30

Build and run

Quote intake, certificates and call notes. Every Friday: what shipped and what's next. You reply yes or no.

Compliance and data

Licensing, carriers and consent

Not legal advice. These are the questions to take to your compliance lead, your E&O carrier or your state insurance department. Insurance is regulated state by state, and the rules differ.
The licensing line

States require a license to sell, solicit or negotiate insurance, and limit what unlicensed staff may do. Oregon's rule, for example, lists permitted activities for unlicensed producer employees, such as taking change requests on in-force policies and receiving claim information, and ties them to the producer's supervision and premises.[2] Your operator is unlicensed and works remotely, so ask how your state treats remote staff. No build recommends coverage.

Carriers are asking about AI

The NAIC model bulletin adopted December 4, 2023 expects insurers to keep a written program for responsible use of AI systems, including due diligence on AI systems and data from third parties.[1] It's aimed at insurers, but carriers you write for may ask what AI your agency uses. Your Ownership Binder documents it.

AI voices and texting

The FCC ruled in February 2024 that calls made with AI-generated voices are "artificial" under the TCPA, which requires prior express consent.[3] No AI calling or bulk texting goes out without a consent record.

Email you send

The FTC says each email that violates CAN-SPAM can cost up to $53,088 and opt-outs must be honored within 10 business days.[4] Renewal and remarketing emails carry a working opt-out.

Client data stays yours

Driver's license numbers, claims and health details are sensitive. Every account stays in your name, and data boundaries are set on day one: what each tool may see, and what never leaves your management system.

Records

Ask your compliance lead how long your state requires you to keep client communications. Builds log what they send into the client file, so automated messages are kept like any other.

Where the line is

What to keep human in an insurance agency

AI prepares and reminds. Licensed people advise, sell and bind.

Coverage advice and recommendations

Anything that explains options or says what a client needs goes to a licensed producer.

Quoting, binding and issuing

The build prepares the file. A licensed person quotes, binds and issues certificates.

Claims conversations

Intake is automated; empathy and advocacy aren't.

Coverage disputes and complaints

Escalated to a licensed person and, where needed, the agency principal.

Underwriting questions from carriers

Answered by the producer who owns the account.

Anything about price changes

A big renewal increase deserves a call, not a template.

The price

What does an AI Operator cost an insurance agency?

One flat monthly price for a full-time builder, not a per-policy fee. For scale: a US software developer earns a median $135,980 a year (BLS, May 2025).[5]

Proof, not promises

Certified on a build, not an interview

Anyone can talk well about AI. Every operator we certify finishes 40+ hours of training, then a 5-day final project where they build a full funnel with AI, scored on a 25-point rubric, plus an interview.

Common Questions

AI for insurance agents: what owners ask

How can an insurance agent use AI?+
Use it for the service load around licensed work: renewal reminders, quote request intake, service request routing, certificate requests, claim intake and call notes. Keep coverage advice, quoting and binding with licensed people. An AI Operator builds and runs the service layer so producers spend more time selling.
Is AI going to replace insurance agents?+
Not the licensed, relationship part. States require a license to sell, solicit or negotiate insurance, and clients still want advice from a person when something goes wrong. AI is replacing the paperwork around agents: intake, reminders, routing and reporting.
What is the best AI tool for insurance agents?+
Start with the AI features in your agency management system and rater, plus a general model such as Claude or ChatGPT for drafting and summaries. The best results come from connecting them to your client records and service inbox, which is the work an AI Operator does.
Can I use ChatGPT for insurance clients?+
For drafting and summarizing, yes, with care. Don't paste sensitive client data into tools your agency hasn't approved, and don't let AI explain or recommend coverage to clients. Licensed staff should review anything client-facing.
Can an unlicensed person automate an insurance agency?+
An unlicensed person can build and run administrative automations under a licensed producer's supervision, within your state's rules. They can't sell, solicit or negotiate. Check how your state defines permitted unlicensed activities before you start.
How much does an AI Operator cost for an insurance agency?+
$3,600/month, month to month, plus a one-time $3,000 placement fee. It's paid once, on your call, and comes back in full if none of your 3 profiles fit. Quarterly ($10,000) and annual ($36,000) plans are also available.
