The accounting is the easy part. Chasing the documents is what eats tax season.
A certified AI Operator joins your firm full-time. They build document chasing, close checklists, notice intake and client status updates on the practice and ledger tools you already use, then run them every week. Your accountants do the accounting.
$3,600 a month, month to month. Every account in your name.
The top results for "AI for accountants" are software vendors explaining AI in accounting and lists of accounting AI tools. They're mostly about the accounting itself: categorization, reconciliation, anomaly detection. In a small or mid-sized firm, a large share of the hours goes somewhere else: chasing clients for documents, answering "where's my return?", tracking who is working on what, and reading IRS notices.
That client-operations layer is where an operator starts, because it's repetitive, it's the same every season, and it doesn't require anyone to sign a return.

Within 24 hours of your call you meet 3 certified AI Operators. Interview them and choose.
The AI Activation call maps your client workflow. Data boundaries come first: which tools may see tax return information, what is masked, and what consent forms are needed.
Usually document chasing and client status updates, because they free the most hours in season.
Close checklists, notice intake and the capacity report. Every Friday: what shipped and what's next. You reply yes or no.
Under 26 U.S.C. 7216, a preparer who knowingly or recklessly discloses or uses tax return information for anything other than preparing the return commits a misdemeanor.[1] The regulations say a preparer may not disclose or use that information before obtaining written consent, unless an exception applies.[2] Ask counsel which AI uses need consent.
Disclosing return information to a preparer located outside the United States requires the taxpayer's prior consent, and a US preparer generally must redact or mask a Form 1040 filer's SSN before disclosing it to someone abroad.[2] Your operator works from Latin America, so builds are designed so they never see unmasked SSNs.
The FTC lists tax preparation firms as covered financial institutions. Requirements include a Qualified Individual, a written risk assessment, encryption, multi-factor authentication, oversight of service providers, and notifying the FTC within 30 days of a breach involving at least 500 consumers.[3] Every tool your operator adds goes into your security plan.
The IRS says tax professionals need a written information security plan, and points to Publication 4557, Safeguarding Taxpayer Data.[4] The Ownership Binder lists every account, integration and access level, which is most of what that plan has to describe.
Your professional standards also restrict disclosing confidential client information. Keep client data in tools your firm controls, under accounts in the firm's name.
AI summaries of notices and transactions are drafts. A qualified person reviews anything that affects a return, a filing or advice.
AI chases and sorts. Professional judgment and the signature stay with your accountants.
No build tells a client what to claim, deduct or elect.
Every return, financial statement and filing is reviewed and signed by the responsible professional.
Notices are summarized and routed; the response is written and approved by an accountant.
The calculator suggests a price. A partner decides whether to take the work.
Which client data goes where is a firm decision, made with counsel.
An unexpected balance due gets a call, not an email.
Accounting software has AI. An AI Operator is the person who builds it into your firm, inside the rules, and keeps it running. Not sure where to start? Take the free AI Leverage Audit, or read what an AI operator is.
One flat monthly price for a full-time builder, in season and out. For scale: a US software developer earns a median $135,980 a year (BLS, May 2025).[5]
Anyone can talk well about AI. Every operator we certify finishes 40+ hours of training, then a 5-day final project where they build a full funnel with AI, scored on a 25-point rubric, plus an interview.
